Case Management: Meaning

Case Management is an approach in which work is structured and divided into “cases”, meaning structured processes consisting of a series of well-defined actions that, when carried out, lead to the conclusion and subsequent closing of the case itself.

The concept of a “case” might not be clear at first glance. It is nothing more than the set of actions necessary to complete a task; for example, managing a holiday request is a case, the inspection of a company vehicle is another case, and the same applies to handling a PEC (certified email) or managing an administrative document.

Case Management System

Managing each of these “cases” is not feasible without the support of a Case Management System: a software dedicated to the digitalization and automation of various internal business processes, aimed, obviously, at the resolution of company “cases.”

What features should a Case Management System have?

Customization
The ability to freely configure processes within the platform. It is important that the Case Management System adapts to your internal procedures and not vice versa.
Notifications
Collaborators must be supported in daily operations, including through reminder notifications that eliminate the possibility of oversights.
Communication
Case management software must allow users to collaborate easily, giving them the ability to communicate instantly and easily access the information they need.
Automation
A Case Management System must allow for the automation of as many actions as possible to make the progress of the process more fluid.

Examples of Case Management

PEC (Certified Email) is a typical example of “case work” that must be monitored and managed as it has the legal weight of a registered letter with return receipt. The arrival of a PEC triggers events that involve specific areas. For example, a complaint about an incorrect delivery will notify After Sales, the Sales Team, Logistics, etc.

Through vteddy, it is possible to manage requests for holidays, permits, sick leave, and smart working in a simple and organized way. Lack of transparency and organization in this area often results in dissatisfaction and management problems. Adopting a structured system, thanks to automations and notifications, can prevent all these issues.

Inspections, insurance, extraordinary maintenance, fines, and every other aspect involving a company vehicle are situations to be managed with meticulousness and precision; otherwise, the risks are high. To eliminate the risk of delays or penalties, a Case Management System comes to our aid with automatic reminder notifications and predefined, guided procedures.

It is possible to easily manage administrative procedures relating to every type of document and keep company assets under control, tracking all information relating to maintenance, requests, fines, courses, and medical visits.

Upon the creation of every invoice, an automatic process can be launched which, in the event the invoice is not paid, can send automatic reminder emails to the customer or alert the relevant figure within the company who can then manage the critical situation.

In the sampling management process, everything is managed within the Case Management System through pop-ups; the procedure is fully guided and information is automatically transmitted to the correct offices at the right time.

Through vteddy, it is possible to manage procedures relating to the resolution of cyber security threats. It is possible to define processes that guide and automate the actions necessary to eliminate any type of criticality.
